Wedding Limo Checklist – Plan the Perfect Ride with Reliable Limousine

Transportation rarely gets much attention in wedding planning, until the day itself. Then it matters a lot. If the bridal party is waiting on a curb or a driver has the wrong address, the whole schedule slips.

This checklist walks through what to decide, what to confirm, and what to ask before you book a limousine for your wedding in Ontario. It’s based on the questions couples ask us most often at Reliable Limousine.

1. Choose the Right Vehicle for Your Wedding

Start with headcount and luggage, not looks. Count everyone who needs a seat in each vehicle, including the couple, and think about dresses, bouquets, and garment bags. They take more room than you’d expect.

Here is how our fleet generally fits wedding needs:

  1. Lexus 300h or Cadillac XTS (up to 3 passengers): A good fit for the couple, or the couple plus one. Quiet and private for the ride between ceremony and reception.
  2. Cadillac Escalade (up to 6 passengers): Room for the couple and a few members of the wedding party, with space for larger dresses.
  3. Chevrolet Suburban (6–7 passengers): A practical choice for family members or a small bridal party.
  4. Mercedes Sprinter (up to 11 passengers): Useful for moving a larger group together, such as the wedding party or out-of-town guests.

Many couples use two vehicles: a smaller one for themselves and a larger one for the wedding party. If you aren’t sure, tell us your headcount and we’ll suggest a setup.

2. Build a Wedding Transportation Timeline

Write out every trip before you contact anyone. A simple timeline usually includes:

  • Pickup for the bride and her party (home, hotel, or getting-ready venue)
  • Pickup for the groom and groomsmen, if separate
  • Travel to the ceremony venue
  • Stops for photos, if planned
  • Travel from the ceremony to the reception
  • The couple’s departure at the end of the night
  • Any guest or family trips

For each leg, note the pickup address, drop-off address, the time you need to arrive, and who is riding. Add a buffer of at least 15 to 20 minutes to each leg. Traffic, parking, and last-minute dress adjustments all eat time.

If you want photos along the way, say so when you book so the driver can allow for it.

3. Confirm Your Booking Details in Writing

Once you’ve chosen a vehicle, get these details confirmed in writing:

  • Date and exact pickup time for every leg
  • Full pickup and drop-off addresses, including venue entrances
  • Number of passengers and the vehicle assigned
  • The quoted price and what it covers
  • Payment terms
  • Waiting time rules
  • A phone number for the driver or dispatcher on the day

Our wedding rides are booked by the hour, with a four-hour minimum for city service. If a venue is far from the city or your day runs long, ask for a quote based on your real timeline rather than guessing the hours.

4. Plan Transportation for the Wedding Party and Guests

Think beyond the couple. Ask yourself:

  • Do the parents or grandparents need a ride, especially if parking at the venue is limited or walking is hard?
  • Are guests coming from out of town and staying at a hotel away from the venue?
  • Will the wedding party travel together or arrive separately?
  • Is anyone bringing a child who needs a car seat?

If children are riding, tell us in advance. Child safety seats are available for an additional fee of $20 per seat, and it’s easier to arrange when we know ahead of time.

5. Questions to Ask Before You Book

Any limo company should be able to answer these clearly:

  • Is my date and vehicle available?
  • What does the quoted price include? What doesn’t it include?
  • What are the cancellation terms?
  • How is waiting time handled?
  • What extra charges could apply, such as extra stops, airport fees, or additional luggage?
  • Is the vehicle fully insured?
  • Who do I call if something changes on the day?

For reference, our terms say cancellations made at least 3 hours before pickup avoid a fee, while cancellations inside that window carry a fee of 50% of the fare. Waiting time is charged at $1.50 per minute after the first 15 minutes. You can read the full terms on our Terms and Conditions page.

6. Don’t Forget the Airport Trip

Many couples leave for their honeymoon the day after the wedding, or have guests flying in. If the airport is part of your plan, book that ride at the same time as your wedding transportation so everything is confirmed together. Pearson Airport pickups carry a $15 pickup fee. Late-night and early-morning trips (1:00 AM to 4:00 AM) have a $20 surcharge.

Frequently Asked Questions (FAQs)

How far in advance should I book wedding transportation?

As early as your date is confirmed, especially for summer and fall weekends, which fill up first. We accept reservations with as little as 4 hours’ notice, but for a wedding we’d never recommend waiting that long.

What size vehicle do we need for the wedding party?

It depends on the group and the dresses. Our vehicles seat from 3 to 11 passengers, so the best approach is to count your riders and tell us how much luggage or dress volume to expect.

Can we book a car for the end of the night?

Yes. Many couples book a separate ride for their departure after the reception. Just give us the end time and the destination.

Are your vehicles insured?

Yes, all of our vehicles are fully insured.
